Program Manager

Job Title: Tutorial Programs Manager
Salary Range: $35-45,000 DOE
Status: At-will, full-time, exempt position with excellent benefit package.
Reports To: Director of Operations

Description
The Tutorial Programs Manager is primarily responsible for the day-to-day management of all tutorial programs, specifically the existing and future sites for instructional, operational, and organizational success. The Tutorial Programs Manager is crucial to the success of EnTo and must strengthen and maintain relationships with parents, children, school administrators and teachers and partners, including universities, school districts, colleges, churches, and business partners. This position requires a high-energy individual with an entrepreneurial and team spirit in addition to a passion for education and children. Successful candidates will be innovative leaders with experience in personnel supervision, financial management, academic achievement and improvement, formal reporting, and budgeting.

Supervisory Responsibilities
The Tutorial Programs Manager directly supervises EnTo Tutorial Programs staff and volunteers located throughout the state of California. The Tutorial Programs Manager will be responsible for carrying out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include recruiting, interviewing, making hiring/dismissing recommendations; training employees and volunteers; planning, assigning and directing work; evaluating performance; rewarding/disciplining employees; addressing complaints and resolving problems.

Responsibilities and Functions of the Job
• Abide by EnTo personnel policies.
• Represent the mission and vision of EnTo at public events, collaborative tables and other meetings.
• Develop and implement the statewide Tutorial Programs; Expand and maintain the Fee-based, SES, Charter School, and Adult Tutorial Programs.
• Develop and recommend program structure/design to Director of Operations.
• Develop and monitor program spending to stay in compliance with pre-approved budget.
• Ensure that legal, fiscal, administrative, and overall program operations are in compliance with EnTo policies and all related laws and regulations.
• Develop procedures and policies for the operation of the Tutorial Programs and ensures effective implementation of all approved plans, policies, programs, and administers assigned budget.
• Recruit, train, supervise, and evaluate staff and volunteers.
• Develop individual staff development plan.
• Provide ongoing support and coaching for paid and volunteer staff (to assist in their individual professional development goals).
• Evaluate staff performance and make recommendations.
• Delegate responsibilities to other staff in supervisory positions.
• Oversee evaluation activities.
• Oversee all daily Tutorial Programs’ operations, including student outreach, student enrollment, student documentation and case management, on-site locations, data entry, tutor security and health clearance, scheduling and coordination of academic mentors (tutors) and clients, adhere to reporting requirements, and maintain compliance with all contracts and agreements.
• Develop and maintain cooperative, collaborative working relationships with and among various stakeholders, including EnTo staff, students, families, district and school personnel, and the broader community.
• Meet regularly with the appropriate school administrators and work closely with school staff.
• Facilitate partnerships with appropriate public and private agencies that provide services to students and families.
• Develop and Implement outcome measurement for EnTo Tutorial Programs, with an emphasis on outcomes, accountability and program sustainability.
• Produce Tutorial Program reports for internal and external use as required.
• Participate with staff and board members to secure funds for the department in the form of fundraising, grant writing, etc.
• Travel to EnTo at Tutorial Program related meetings, events, tradeshows, parent fairs, etc.
• Perform other duties as assigned.

Qualifications
• Bachelor’s Degree required, Masters Degree preferred with 2-5 years relevant experience. (Years of experience may be substituted for a degree on a year-for-year basis.)
• Bilingual (English & Spanish).
• Strong work ethic and positive attitude that includes flexibility, optimism, and a good sense of humor.
• Highly organized and punctual; ability to sort/categorize information and meet deadlines
• A strong ability to work independently, multi-task, shift focus quickly, and set priorities to accomplish various instructional, fiscal, and operational tasks.
• Must be willing to travel and occasionally work evenings and weekends.
• Excellent community-building and communication skills: written, verbal, and interpersonal.
• Strong conflict resolution, problem-solving, and judgment skills.
• Must have prior program and personnel management experience.
• Ability to think and learn quickly to implement programs immediately with little supervision.
• Demonstrated, effective problem solving skills.
• Innovative, Entrepreneurial and ‘Out of the Box’ thinker.
• Competency/experience with PC systems and standard software (Microsoft Office: Outlook, Word, Excel, PowerPoint, etc.)
• Demonstrated ability to work successfully with diverse groups of people and through various communication vehicles (e-mail, phone, voicemail, written correspondence, etc.).
• Capable of taking initiative.
• Able to work both independently and as part of a team.

Essential Functions
The Tutorial Programs Manager must be able to juggle multiple time-sensitive projects simultaneously on a continuous basis, be able to communicate by phone and in person, be able to work extended hours as needed, work with minimum supervision, exercise sound judgment at all times, represent the organization and its mission with integrity, be at work consistently, on time, and on a full-time basis.

Physical Demands
While performing the duties of this job, the employee is regularly required to use hands, type, stand, walk, sit, reach, stoop, kneel, and drive. The employee must occasionally lift and/or move up to 50 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, the ability to adjust focus and work for extended periods of time.

Licenses and Other Requirements
• Possess CA Drivers License.
• Must have a reliable car and maintain updated license and insurance for site visits.
• Must be fingerprinted upon offer of employment and pass Dept. of Justice background check.
• Must provide proof of negative recent TB test upon hiring

Compensation
Salary: $35-45,000 DOE
